THE HANGOUT
Admissions and Fees Policy
The Hangout is registered with Ofsted; our registration number is 2617368. We provide care for up to 60 children between the ages of 4 and 11, primarily serving the children of Harlow and the surrounding areas.
Places are offered on a first-come first-served basis.
Registration
When an enquiry regarding places is made, parents or carers will be given all the relevant Club information, including:
Information regarding availability of places
Details of the Admissions and Fees policy
Details of Arrivals and Departures
Registration form, medical form, parent contract.
Access to all of the clubs Policies and Procedures upon request.
The child will be able to attend the Club as soon as the completed forms are received.
If no places are available the parent will be informed and the child’s name added to the waiting list. As soon as suitable places become available parents will be informed.
Booking procedure
Parents must complete the necessary paperwork, i.e. contract, registration, medical forms, before their children can attend the club.
ADHOC bookings made within 48-24 hours before the session, will be required to pay at the time of booking with a no refund policy if the child were to not attend.
Fee structure
Fees are charged at £32 per day.
The Club recognises that childcare can be costly, so we encourage eligible parents or carers to claim the childcare element of the Working Tax Credit/Universal Credit. Fees are payable in full at the time of booking.
Fees can be paid by BACS.
There is a charge of £5 per 15 minutes for late collection, which will be added to the next invoice.
Fees are charged for booked sessions whether the child attends or not.
Fees are reviewed annually.
If fees are not paid, the children will not be able to attend and will be refused entry if they turn up for an unpaid session.
Cancellations
Cancellations of the booked sessions will not qualify for a refund. Unfortunately, due to pre-arranged staffing and buying of resources you will be charged in full in the event that your child does not attend.
Forced Closure
If The Hangout are forced to close the club by any local authority (e.g. Environmental health, Schools, County Council)or due to unforeseen circumstances, due to adverse weather conditions (e.g., Floods, Ice or snow), the outbreak of a contagious or infectious condition with a risk to health (e.g. Flu pandemic, Covid-19, meningitis etc.) due to any industrial action for (e.g. teachers strikes), power cut or for any other external factor beyond our control all customers will still be liable for any fees due during entire period of closure; as staff still need to be paid in these unusual instances.
Lost Property, Clothing or Belongings
Please ensure that children do NOT bring any toys or valuable belongings with them to clubs. Casa Clubs do not accept any liability for loss of damage of personal affects. We cannot guarantee the return of lost property and do our best to return the items to the owners if they are clearly identified however; we will keep them for a maximum of two weeks before either putting in to school lost property or donated to a charity or discard these items if they are broken.
The Hangout also accept no liability for damaged or stained clothing, water bottles, lunch boxes or footwear and eye glasses we do suggest sending your children in clothing and shoes that you are happy for them to get dirty or messy in. We also suggested all items are labelled with your child’s name.
Additional Needs and One to one Support
If a child requires additional or one to one support, The Hangout must be notified before attendance and reserves the right to cancel the booking if suitable arrangements have not been put into place.
